April 2008 Board MeetingOREGON SWIMMING, INC The meeting was called to order at 7:10 p.m. by Jeff Gudman, Chair pro tem. Present were: Stan Benson, Terry Johnson, Scott Kerr, Marilyn Loitz, Linda Postma, Scott Price, Tom Shattuck-Smallwood, Coby Van Andel, Dawn Marie Woodward. Minutes Minutes from the February 6, 2008 meeting were approved as submitted. Treasurer (Jacki Allender) No report. REPORTS – Age Group (Vicki Gordon) No report. Senior Report (Skip Runkle) No report. Coaches Report (Kyle Kimball) Kyle offered congratulations to all the athletes and coaches for another great short course season this year, and thanks to the officials and other volunteers that make our organization run smoothly. Two items to note. 1) the listed qualifying times for Tier III reimbursement in our Swim Guide are incorrect. The correct times are the Summer Junior National Bonus Event times which are also the same as the NCSA Junior National times. This will be corrected on the website. 2) Most coaches that Kyle has talked with are not in favor of having the 10 & U meet so early. They would prefer to have the 10 & U meet the same weekend as the State High School meet and then run the 11-14 meet the week after that. Without attending the meeting I don’t know all the ins and outs for this decision, but I wanted to bring this up. The Board agrees that the 10 & U Championships should be same weekend as the high school state meet which is the third weekend in February. Athletes Representatives (Mailene Leslie, Sloan Storie) No report. Scheduling/Championship Site Selection (Mark Maxwell) A draft of the 2009 Oregon Swimming Calendar was been distributed. It still needs to be fine tuned, and will be sent out to all clubs for review next week. Championship meet bids are in as follows: SC 10 & U—WSC, HEAT, AAA; SC 11-14—CAT; LC Senior—MHST, MSC; LC 10 & U—Albany; 11 & O—MHST. Time Standards (Andy Carlisle) No report. Technical Planning (Jim Bowe) No report. Website (Robbert van Andel) The voting process for the championship meets is being set up and information will be sent out to clubs soon. Safety Chair ( Jeanine Serrano) No report. Camp Coordinator (Scott Kerr) Planning is underway and there will be no fees this year. 1) There will be a BC Camp in Woodburn with John Zell. 2) For the Age-group Camp this year the top eight swimmers per age group from the 11-14 Championship were selected. Scott thanked Coby for mailing the invitations to them. 3) The Senior Camp will be by invitation, and the standards have not been set. Scott has talked with Dave Gibson about doing the OSCA camp at Mini Expo this year. Officials Committee (Bruce Ludwig) Referees for the summer championships are: LC 10 & U—Joel Scroggy; LC 11 & O—Kathy Coddington. Gene Mielke will be admin referee. The election process for the next Officials Chair is in the works. Bruce has received the nominations. Disability (Gene Mielke) Gene and Mark Rieniets are attending the U.S. Paralympic Trials in Minneapolis this week. Gene has compiled a list of organizations that provide assistance to individuals with disabilities. It is available from him or the office, and he eventually hopes to have it as a link on our website. Disability records will be updated following the Paralympic Trials. Kudos to Mark Rieniets who has been selected to be an official at the Bejing Paralympics. Office Manager/Registration The membership report as of April 2, 2008 is: Registered Athletes 4,357, Outreach Athletes 108 for a total of 4,465. Nonathletes 668, Club 60, Organizations 2. Seasonal registration for 2008 will start April 4, 2008 and end on August 31, 2008. Sanctions Chair (Terry Johnson) No report. Awards Ceremony (Cheslah Barkdoll) The 2008 Awards ceremony will be in Canby at the Civic Center. NTV Chair (Jacki Allender) No report. Records (Robbert van Andel) Several new records were set over the past two months. All records are now posted on the website. The NCSA Junior results were delayed due to problems with their website. The results were received yesterday, and the records have been posted. NOTE: Please be sure to let Robbert know when you go to big meets outside of OR. All-Star Team (Shane Bennett/Jeanine Serrano) No report. OLD BUSINESS Travel Review/Meet Fee Review. Jeff Gudman reported that 1990 was the last time splash fees were adjusted and the surcharge added. The OSI portion of the registration fee has been $5 since 1991. The consensus of those present was that the surcharge be raised from $1.50 to $5.00 where applicable, that the championship surcharge be raised from $4.00 to $10.00, and that the OSI portion of the registration fee be raised to $10.00. Record Recognition. No report. OSI’s role in 2008 Zone meet. No report. Convention Attendance. No report NEW BUSINESS The OSI Newsletter is moving to the website. There will not longer be a newsletter per se. Items will be posted directly to the website as necessary. Mailings that are necessary will be sent to clubs individually. Meet names for Tier I and II are wrong in the handbook and need to be brought into alignment with USA-S meets. These corrections have been noted and will be corrected on the website. There has been conversation between NSCA and USA-S about USA-S sponsoring a National SC Junior Championship in December one week after the National Championship. This meet would replace the NSCA Championship in March. Depending on the decision, OSI may need to make some decisions about funding. A fine for swimmers who have not scratched and who are no shows on Sunday night at OSI Championship meets was discussed. M/S/P Motion to levy a $100 fine, to be paid by the club, per swimmer/per event for those who have not scratched and who do not show up on Sunday for finals. Announcements/Adjournment The Club Leadership and Business Management School will be April 13 at the Multnomah Athletic Club. The next Executive Committee Conference call will be May 7, 2008 at 7:30 p.m. The next Board Meeting is June 4, 2008 at 7 p.m. at the Multnomah Athletic Club.
